This notice explains what Lionheart Fitness does with personal information when you visit the website, make an enquiry, book a consultation or become a coaching client.

The short version: Lionheart Fitness uses personal information to answer you, arrange and deliver coaching, keep appropriate records and run the business. It is not sold, and only the information reasonably needed for those purposes is collected.

Who we are

The controller responsible for your personal information is Ben Tompkins, trading as Lionheart Fitness, based in Cambridge, United Kingdom.

In-person sessions are delivered at PureGym Cambridge Leisure Park. PureGym is a separate organisation and is not responsible for Lionheart Fitness client records.

Information we collect

Depending on how you interact with Lionheart Fitness, this may include:

  • Your name, email address, telephone number and preferred contact method.
  • Messages, consultation details, goals, training experience and availability.
  • Information needed to provide coaching, such as programme activity, check-ins, progress, measurements you choose to share and feedback.
  • Relevant health, injury, accessibility or mobility information you choose to provide so coaching can be delivered safely.
  • Booking, package, payment and account records. Full card details are handled by the payment provider rather than stored by Lionheart Fitness.
  • Basic technical and security information produced when the website is used, such as an IP address, browser type and server logs.

Information normally comes directly from you, including when you use email, telephone, WhatsApp, Calendly or the Trainerize coaching app.

How and why we use it

Enquiries and consultations

To reply, arrange a call and recommend a suitable service. The legal basis is taking steps at your request before a possible contract.

Coaching and client support

To build programmes, deliver sessions, review progress and manage your coaching account. The legal basis is performance of a contract.

Business administration

To manage records, protect the website, resolve queries and improve the service. The legal basis is Lionheart Fitness's legitimate interests, balanced against your rights.

Legal and financial records

To meet tax, accounting, insurance or other legal requirements. The legal basis is compliance with a legal obligation.

Lionheart Fitness does not sell personal information and does not use it to make solely automated decisions about you.

Health and fitness information

Information about health, injuries or medical conditions is treated as special category data. It is only requested when relevant to safe, appropriate coaching and is kept to the minimum needed.

Where Lionheart Fitness relies on your explicit consent to use this information, you can withdraw that consent at any time by contacting Ben. Withdrawing consent does not affect earlier lawful use, but it may mean coaching cannot safely continue without the relevant information.

Coaching is not medical advice. You may be asked to speak to an appropriate healthcare professional before beginning or changing exercise where this is sensible for your safety.

Sharing and third-party services

Information is shared only where reasonably necessary to run the service, with providers used for website hosting and security, consultation scheduling, communications, coaching delivery, payment processing and professional administration.

This can include Calendly when you book, WhatsApp/Meta when you choose to message, Trainerize when you receive online coaching, and the payment provider used for your package. Those providers process information under their own terms and privacy notices as well as, where applicable, on Lionheart Fitness's instructions.

Information may also be shared when required by law, to establish or defend legal rights, or with professional advisers such as an accountant or insurer. It is not shared with unrelated organisations for their own marketing.

International processing

Some service providers may process information outside the United Kingdom. Where UK data protection law requires it, Lionheart Fitness relies on an approved transfer mechanism or other appropriate safeguard designed to protect that information.

How long we keep it

Personal information is kept only for as long as it is reasonably needed for the purpose it was collected, including providing coaching and meeting legal, tax, accounting, insurance or dispute-resolution requirements.

  • Enquiry information is reviewed once follow-up is no longer reasonably expected.
  • Active client records are kept while coaching is being delivered.
  • Core account and transaction records may be retained after coaching ends where needed for legal, tax or insurance purposes.
  • Health information is reviewed carefully and deleted or anonymised when it is no longer needed for safe coaching or another valid reason.

Retention can vary where a longer period is required by law or a shorter period is appropriate because the information is especially sensitive.

Your data protection rights

Depending on the circumstances and the legal basis being used, you may have the right to:

  • Ask for a copy of your personal information.
  • Ask for inaccurate or incomplete information to be corrected.
  • Ask for information to be deleted or its use restricted in certain circumstances.
  • Object to processing based on legitimate interests or for direct marketing.
  • Receive certain information in a portable format.
  • Withdraw consent at any time where consent is being relied on.

Cookies, technical data and external links

This website does not currently use advertising or analytics cookies. The hosting and security services that make the website work may process essential technical information or use strictly necessary storage.

The website links to services such as Calendly, WhatsApp, Google, Instagram and TikTok. If you follow one of those links, the other service may collect information under its own privacy and cookie notices. Lionheart Fitness does not control those external websites.

If non-essential analytics or advertising technology is added later, this notice and the website's consent choices will be updated before it is used.
